Preparing for a meeting

When you open a meeting for the first time you will see the preparation page.
We will be going through each part of this page.

Top Bars

This will seem familiar as it is seen on every page in SalesNote.
You have 3 buttons here: 
  1. External Page: Opens the page you can send to external attendees. For more information see External Page
  2. Start Meeting: Start the meeting. For more information see DURING THE MEETING
  3. Edit Meeting: The same window you used to create the meeting, can be used to change the basic settings of the meeting.

Title Bar

This will contain the Title of the meeting, as well as the Start and End date of the meeting.
On the right side the button Meeting Summary will take you to the meeting summary. For more information MEETING SUMMARY

Left Column

Status

This contains the current status.
The list of possible statusses are:
  1. Suggested (White): Currently not in use
  2. Unlinked (Grey): The meeting is fresh and empty
  3. Linked (Yellow): Contacts have been added to the meeting
  4. Preparation (Orange): Tasks have been added to prepare (either finished tasks or unfinished tasks)
  5. Ready (Olive Green): All preparation tasks have been finished
  6. Started (Blue): The first question has been answered
  7. Processing (Purple): The first follow-up task has been checked
  8. Finished (Green): All follow-up tasks have been checked

Type

These are the meeting types you have set-up during this step: Meeting Types
After changing a type you will be asked if you want to:
  1. Update the Media Items to the ones of the new type
  2. Update the Tasks (both preparation and follow-up) to the ones of the new type
If you picked No and changed your mind, you can still use the button Update Tasks.
In this selector you will have 2 tabs for the types of tasks. You can drag-and-drop the tasks you need.

Organizer

This is the User who is responsible for the meeting and created it.
You can use the  button to change the organiser.

Internal Attendees

You can search your internal Users to add them to a meeting.
If you need more users, please contact thomas@salesnote.eu

Attendees

You can search your Contacts to add them to the meeting
If you need to add Contacts follow the Contact management manual.

Send mail to Attendees

If you entered a Template in the Email Templates this will be visible here.
If not you can enter your custom email, you can also edit the current template to fit your current needs.
If you want to add Variables, please refer to the Email Templates manual at the bottom.

Themes

Your Themes will be present here, you can select the themes you would like to discuss during the meeting.
To add themes, follow the Theme Management manual.


Right Column

Preparation Tasks

These are the tasks you will have to prepare before the meeting.
On the top you will see 2 buttons:
  1.  Refresh the Default Preparation Tasks to the latest version and refresh their deadline date.
  2.  Add a new custom Preparation Task
The list is sorted based on the deadline.
You can check off every task when it is finished.
If you open the task you will see the notes of the task and 2 buttons:
  1. Edit Task: Change the notes or the deadline
  2. Delete Task: Delete the task

Preparation Notes

A simple notition of things you might need to remember for the meeting.
This is only visible internally.

Media

This is the Media that you have access to during the meeting (next to the specific theme media).
To add default items, please refer to the Meeting Types.
You have 2 buttons:
  1.  Refresh the Media to the default media of the Meeting Type
  2.  Select the media you would like to add
Once you have your media selected, you have 2 possible options in the list:
  1.  Select the media as the External Video (Only available for YouTube or Loom videos)
  2.  Delete the media

External Video
This is your currently selected Media to show to the external attendees on the External Page

Conclusion Tasks

These are the tasks you will have to follow-up on after the meeting.
On the top you will see 2 buttons:
  1.  Refresh the Default Follow-up Tasks to the latest version and refresh their deadline date.
  2.  Add a new custom Follow-up Task
The list is sorted based on the deadline.
If you open the task you will see the notes of the task and 2 buttons:
  1. Edit Task: Change the notes or the deadline
  2. Delete Task: Delete the task

Comments

A Comment block that external users can use to add comments for the meeting.
You can also add a comment that the attendees can see.

External notes (visible for attendees)

A simple notition that is visible on the External Page
This can include a short description of what is the intention of the meeting.
